Share servers with a workspace

Create a workspace, invite people, and control which servers they can open and what they can do.

Updated

On this page

A workspace lets several people manage the same servers, VMs and websites without sharing a login. It has its own balance, its own servers and its own members, and each member signs in with their own account.

Create a workspace

  1. Open the workspace switcher in the sidebar and choose Add workspace.
  2. Name it, then Decide who sees what:
    • Everyone sees everything or Invited members only (members see only the servers you give them)
    • Owners and admins only or Members can spend the balance
  3. Optionally invite people by email or username, then click Create workspace. You become its Owner.
  4. Switch to it in the sidebar. Anything you deploy while it's selected belongs to the workspace and is billed to its balance.

Top up the workspace balance from Billing while the workspace is selected. It's separate from your personal balance.

Invite people

  1. Go to Workspaces and open the Members tab.
  2. Under Invite by email or username, enter their email or BitQate username and click Invite.
  3. They join once they accept. Until then the invite shows as Invite pending, and you can Cancel it.

New members get access to all workspace servers. Adjust that straight after they join (see below). Everyone in a workspace can see each member's email address.

Roles and permissions

Every member has a role:

RoleWhat it allows
OwnerEverything. Can't be removed.
AdminFull access by default
MemberOnly the permissions you tick for them
CustomExactly the permissions the role bundles, such as a "Billing manager" role

The permissions are:

PermissionLets them
Manage membersAdd, remove and edit the permissions of other members
Manage settingsChange the workspace name, access scope and purchase setting
Manage billingView and manage the workspace balance
Create serversDeploy new servers billed to the workspace balance
Delete serversDelete servers owned by the workspace
Manage serversPower, console and backup actions on servers they can access

To create a custom role, go to the Roles tab and click New role. Editing a role updates everyone who has it.

Limit which servers someone can open

By default every member sees every server. To restrict that:

  1. On the Settings tab, set Container Access to Invited members only and click Save settings.
  2. On the Members tab, click Edit next to a member.
  3. Under Server access, choose All servers, Specific servers (then tick them) or No servers, and save.

Changes apply as soon as you save.

Control spending

Spending on the Settings tab decides who can deploy servers billed to the workspace balance: Owners and admins only, or Members can spend the balance. Keep the first if only you and your admins should create anything that costs money.

Removing someone

On the Members tab, click Remove next to them. They lose access to the workspace's servers and balance immediately. If they knew any server passwords, database passwords or connection strings, rotate those as well, since removing them from the workspace doesn't change credentials they may have copied.

Good practice

  • Give each person the lowest role that lets them do their job. Use a custom role rather than making everyone an Admin.
  • Ask every member to secure their account with 2FA or a passkey.
  • When you contact support about a workspace, include its Workspace ID from the Settings tab.
